Website and portal privacy
Elite Cooling Services Scotland Limited (SC710215) is responsible for the information you send through this enquiry form. Contact [email protected] about your enquiry or your information.
What we collect and why
We collect your name, the business and contact details you choose to provide, your reply preference and your message. We use these to respond, understand the work you need and prepare a quotation where requested. Providing these details is your choice, but we need a name, message and a valid reply route to handle an enquiry. Please leave out passwords, payment details and sensitive personal information.
We use this information to take steps you request before entering a contract, or for our legitimate interest in responding to business enquiries. Submitting the form does not sign you up for marketing. We do not use this form for automated decisions or profiling.
How your enquiry reaches us
The form saves a temporary copy before notifying the ECS enquiries mailbox. Cloudflare provides hosting, temporary storage and email delivery. Warren manages the website and may access enquiry records to resolve a delivery problem. We do not sell your information.
Cloudflare may process information outside the UK. Its processing arrangements and transfer safeguards are described in its privacy policy and data processing terms. Contact ECS if you need more information.
How long we keep it
Temporary form records are kept for 30 days, with automatic deletion scheduled when the retention period ends. Failed email notifications are retried during that period. ECS keeps email correspondence separately for as long as needed to handle the enquiry and any resulting work or record-keeping obligations. You can contact ECS to ask about a particular record.
To limit spam, the form temporarily keeps a hashed network-address identifier for up to 20 minutes. The form does not store the original network address in its enquiry records. Hosting providers may keep separate security logs under their own policies.
Your choices and rights
You can ask ECS for access to your personal information or request correction, deletion or restriction, and data portability where it applies. You can object to processing based on legitimate interests. These rights depend on the circumstances; contact the enquiries address above so ECS can respond. You can also complain to the Information Commissioner's Office.
The customer portal uses your approved email address and password to control access to documents shared by ECS. Cloudflare hosts the portal and stores its private document copies. A secure, essential sign-in cookie lasts for up to 12 hours; signing out revokes that session. The portal temporarily stores a hashed network-address identifier to limit repeated sign-in attempts. ECS controls who has access and which documents they can see. Contact ECS about access, correction or removal.
